Apostille Coordination

Apostille coordination for documents bound for use abroad.

Notarization done correctly the first time, then coordinated with the California Secretary of State so the document is authenticated for international use.

What It Is

An apostille, explained plainly.

Document being signed with a fountain pen

An apostille is a certificate that authenticates the origin of a public document — including a notarized one — so it can be recognized in another country that is party to the Hague Apostille Convention. In California, the apostille is issued by the Secretary of State, which certifies that the notary who executed the document holds a valid commission.

The notarization has to be done correctly first, or the document is returned before it is ever authenticated. This practice handles the notarization to that standard — the right certificate, a complete journal entry, the seal placed correctly — and then coordinates the document through to the Secretary of State so it comes back prepared for use abroad.

The practice provides notarial execution and coordination. It does not offer legal advice on a destination country's requirements; for those, the receiving authority or an attorney is the right source.

Notarial services are offered as a courtesy to the public — there is no charge for the notarization itself. Any Secretary of State filing fees, courier costs, and reasonable travel expenses for a mobile appointment are quoted before the appointment is confirmed.

Documents Handled

What commonly needs an apostille.

If your document is not listed, ask on the scheduling call — most can be accommodated, and you will be told which cannot before the appointment rather than after.

How It Works

From signature to authenticated abroad.

  1. Step 01

    Confirm the requirement

On the scheduling call, we confirm the destination country and what that country requires — an apostille applies to Hague Apostille Convention countries; other destinations follow a different chain of authentication.

  2. Step 02

    Notarize correctly

The document is notarized with the correct California certificate and a complete journal entry, so it will pass the Secretary of State's review rather than be returned.

  3. Step 03

Coordinate with the Secretary of State

The notarized document is coordinated with the California Secretary of State, which issues the apostille that authenticates the notary's commission for international use.

  4. Step 04

    Return prepared for use abroad

The apostilled document is returned to you, prepared to be accepted by the receiving authority in the destination country.

What To Bring

A little preparation saves a round trip.

  • The destination country, so the correct authentication path is confirmed before anything is signed.
  • A current, government-issued photo ID for every signer, as required by California law.
  • The complete, unsigned document — signatures on notarized pages must be made in the notary's presence.
  • Any instructions from the receiving authority about how the document must be presented.
